Accidents
During your visit, please notify the organizers if you are involved in or witness an accident.
Aisles
Please note that the aisles are not part of your stand. No equipment or staff may cross the boundary of your stand. All aisles must remain clear and accessible at all times.
Badges & Passes
No one will be allowed into the exhibition hall during setup, the event, or teardown without the appropriate pass. All badges must be registered for in advance of the event and must be worn at all times on-site. Please refer to the Exhibitor Badges link found in the E-Zone to register for an exhibitor badge.
To access the hall during the Build, you'll need to register for a Build & Breakdown Pass. You can find the link to this in the "Compulsory" section of the manual.
Upon arrival at the venue, you will be given a sticker by the security team on site. These will be handed out at the truck doors before you enter the hall.
All staff at your stand wear an exhibitor badge to enter the hall. You must pre-order exhibitor badges via your E-Zone. Once ordered, a code will be sent to you via email, which you will need to collect your badge on site.
Balloons

Gas-filled balloons must be securely fastened to the stand. Fees will be charged for any costs incurred to repair damage to the air handling units inside the halls caused by gas-filled balloons being drawn into the units, as well as for removing balloons from the roof structures.

Balloons must be positioned at a height of no more than 4 meters from the floor of the hall to the top of the balloon.

Balloons must be hung only over your own stand.

A plan must be submitted to the organizers detailing the location, height, and method of attachment.

All helium cylinders must be removed from the halls once the balloons have been filled, and the use of flammable gases is not permitted.
Banners
If you would like to have a banner hung above your stand, please contact the Operations team at:pharmagoraops@closerstillmedia.com.
Children
Local authority health and safety regulations prohibit the presence of children under 16 in the halls during setup and takedown. The exhibition is a trade event, and the nature of the exhibits during the open period will reflect this; as such, it is not a suitable environment for minors. There are no childcare facilities at this event.
Cleaning of shell scheme booths
Shell Scheme Stands will be cleaned on both open mornings, unless a night sheet is used. This service includes daily cleaning of the stands before they open to the public.
Included:
- Removal of the plastic sheeting protecting the carpet,
- Emptying of trash cans,
- Vacuuming,
- Wiping down surfaces and furniture.
Not included:
- Cleaning of exhibited machinery or equipment,
- Provision of dumpsters or large bins.

Cloakroom
The cloakroom is located at the main entrance to Hall 7.2. It is open daily until 30 minutes after the exhibition closes. There is a charge of €2 per item FOR VISITORS ONLY.
First Aid
The first aid station is located in the security offices near Hall 5. It can be reached via the organizers’ office.

Forklift rental
CloserStill Media has selected GES Logistics as the sole contractor authorized to operate forklifts for the duration of the hall lease. For safety reasons, no motorized vehicles (forklifts, etc.) will be permitted in Hall 7.2. Only GES Logistics, our official service provider, is authorized to operate this type of vehicle. If you need to request a forklift, please contact GES Logistics using the contact information below:
Insurance
Any loss or damage occurring during the event must be reported immediately to the organizers' office and on-site security staff. Please note that exhibitor insurance does not cover contractors or any subcontractors present at the event. Contractors must provide proof that they have their own insurance covering the minimum requirements set by Paris Porte-de-Versailles.
We recommend that contractors working on complex structures have liability insurance coverage of up to 6,000,000 euros and be able to provide proof of employer’s liability insurance. We recommend that contractors working on standard structures have liability insurance coverage of up to 2,000,000 euros and be able to provide proof of employer’s liability insurance.

Internet
Porte de Versailles offers free Wi-Fi throughout the venue. Please note that this service is complimentary and is therefore not supported by Venue Services ViParis. It is only suitable for light internet use, such as checking emails. If you need to demonstrate a product that requires a reliable connection, we recommend that you order either a hotspot/Wi-Fi or a wired connection for your stand.

Pillars
Graphics are permitted on the pillars; if you have one on your stand, you may cover it up to 2.4 meters from the floor. For the RIA pillars, you may not block the entrance to the pillar, but you may cover the other two sides up to 2.4 meters; these are indicated on the technical plan. Do not use any fasteners that could damage the wooden panel.
Scanner
Starting with the 2026 edition, scanners will no longer be provided. All scanning will be done using an app called “Smartscan,” which you can purchase directly through your E-Zone, in the same place where you order your exhibitor badges.
You will find all the instructions for setting up the application on the E-Zone once your order has been confirmed.
The data will be available as soon as you start scanning on-site, and will remain available to you for up to 6 months after the event.
Security
The 24-hour security provided by the organizers is intended to prevent unauthorized access to the hall, NOT to secure the contents of your stand. There will be internal overnight security patrols only, and these cannot guarantee the safety of your goods if they are left unattended.
Please ensure that your stand staffed at all times. Please assist the organizers with hall security by immediately reporting any security issues to the organizers’ office. Exhibitors are advised not to leave their booths unattended during setup, takedown, or the exhibition period, and to take special care with personal items such as cell phones and laptops.
Please note that most rental lockers are equipped with standard locks and should NOT be considered secure. Any incidents of theft must be reported to the organizers immediately, as it will be necessary to fill out a security form and report the incident to the police. Please note that neither the organizers nor the venue can be held responsible for any loss or damage to booths or exhibits.
Storage and On-Site Handling
There are no storage facilities at the venue, and any company requiring such facilities should contact GES Logistics for a specific quote.
Waste
You are required to remove all stand-related materials and waste generated at the end of the dismantling process. Any trash left in the hall will be disposed of by the Cleaning Department, and a fee of €600 per load will be charged to the relevant exhibitor. We will take digital photos of each area as proof, and an invoice will be sent to you after the event.
Charges apply for any pallets, equipment, stand , or packages left in the hall that are removed and taken to storage by GES Logistics.
